Position Overview
The Facilities Coordinator is responsible for the day-to-day operation, maintenance, and appearance of the College's facilities and grounds. This position coordinates custodial and vendor services, performs routine maintenance, manages work orders, and proactively monitors campus to identify and resolve facility needs, ensuring a safe, clean, functional, and welcoming environment.
Base Salary: $45,000 - $53,000

Maintenance, Reporting, and Facility Upkeep
- Maintain, inspect, and perform routine repairs on College facilities, equipment, and building systems.
- Manage work orders and ensure maintenance issues are resolved promptly.
- Serve as the primary point of contact for outside contractors, coordinating routine inspections, preventive maintenance, and emergency repairs in collaboration with the Director of IT & Facilities.
- Develop and coordinate preventive maintenance schedules for buildings, equipment, and facility systems.
- Develops and implements maintenance procedures as needed or required.
- Prepare and submit quarterly reports detailing building needs, maintenance issues, and other concerns for each site to the Director of It & Facilities.
- Prepares facilities for changing weather conditions.
- Coordinate facility setup, support, and cleanup for College events and special activities.
- Performs other related duties as assigned.
Proactive Facility Monitoring
- Routinely inspect College facilities and grounds to identify maintenance, safety, and appearance concerns before work orders are submitted.
- Maintain a visible presence throughout campus, taking immediate action to resolve minor issues and coordinating larger repairs or vendor services as needed.
- Ensure buildings, entrances, walkways, parking lots, and outdoor spaces remain clean, safe, functional, and welcoming.
Custodial Operations
- Coordinate custodial contractors, establish cleaning schedules, and monitor service quality across all College locations.
- Maintain custodial supply and equipment inventories, ensuring materials and equipment are available and in good working order.
- Conduct routine inspections to verify cleanliness and quality standards.
Contract and Vendor Coordination
- Coordinate vendor services and monitor performance to ensure contractual expectations are met.
- Obtain quotes, coordinate service requests, and assist the Director of IT & Facilities with vendor agreements and contract renewals.
- Evaluate vendor performance, address service concerns, and recommend contract renewals or service improvements to the Director of IT & Facilities.
Budget Coordination
- Assist in developing and monitoring the facilities operating budget for custodial services, supplies, equipment, and contracted services.
- Track expenditures and maintain budget records.
- Recommend cost-saving opportunities and operational efficiencies.
- Collaborate with the Director of IT & Facilities on annual budget planning.
Health, Safety, and Compliance
- Ensure compliance with health, safety, and regulatory requirements through routine inspections and audits.
- Creates and maintains reports on maintenance, repairs, safety, and other occurrences
- Ensure proper security measures for the workplace, including collaborating with security professionals.
Qualifications
- Experience coordinating facility maintenance or custodial operations.
- Working knowledge of building systems, preventive maintenance, and facility equipment.
- Demonstrated ability to identify maintenance, safety, and appearance issues proactively and prioritize corrective action.
- Ability to prioritize multiple maintenance requests across several locations.
- Strong organizational, communication, and problem-solving skills.
- Ability to coordinate contractors and service providers.
- Customer service mindset with the ability to work independently.
